RECORDS & STORAGE CLERK

We are looking for a highly organized, detail-focused Records & Storage Clerk to join our team full-time.

In this role, you will look after the firm’s closed files, corporate minute books and original estate planning documents at our off-site storage facility. You’ll also make sure lawyers and staff at our main office get the files they need on time. If you enjoy working on your own, take pride in keeping things in perfect order, and are happy to pitch in when the team needs you, this could be the right role for you.

What You’ll Do

  • Close and archive client files, confirming zero balances in our accounting software.
  • File and maintain closed files, minute books and records in precise numerical and alphabetical order.
  • Safeguard and file original Wills, Powers of Attorney and other estate planning documents.
  • Retrieve and deliver files and documents between the storage facility and our main office, including same-day urgent requests.
  • Track every file and document that leaves storage, accurately and without exception.
  • Help reorganize the storage facility, shred files that have reached the end of their retention period, and scan and digitize documents.
  • Serve as our backup runner, covering deliveries and pick-ups around Peterborough when our runner is away or busy.

Who You Are

  • Extremely organized: you love a system and you follow it every time.
  • Attentive: you notice the small details, such as a misspelled name or a wrong file number, before they become problems.
  • Independent: you’re comfortable working alone for most of the day and manage your own time without close supervision.
  • A team player: you’re happy to step up and fill in where and when needed
  • Trustworthy and discreet: you understand that client documents are confidential and irreplaceable.

What You Bring

Required

  • Experience in records management, filing, archiving or a similar administrative role.
  • Valid Ontario driver’s licence, a clean driving record and a reliable, insured vehicle.
  • Comfort with computers, email and data entry.

Preferred but not required

  • Experience in a position handling confidential records.
  • Familiarity with Unity Accounting or PCLaw.
  • Experience scanning and digitizing documents.

Salary will be competitive and commensurate with experience, generally in the range of $35,000 – $50,000 annually, plus benefits.
